Welcome everyone to our session on spare parts management and getting to see what that looks like inside of Limble.
For those of you who are less familiar with what Limble does, we are a mobile friendly, really easy to use maintenance management software or a CMMS, in other words.
During today's demo, you'll get to see what the desktop view of Limble looks like. And then on the right hand side of the screen, we'll have the mobile app.
So Limble just really helps maintenance teams to easily track and manage their spare parts usage, extend asset lifetime, as well as boost productivity, and also reduce your equipment downtime. So it just really provides you everything that you need in order to really efficiently manage your assets as well as your maintenance tasks.
And a closer look at what we'll be looking at today, you'll see how to add consumable parts into Limble as well as, really looking at how to enable inventory notifications, and, also, finding your parts details, vendors, and reporting within Limble software.
A bit of our speaker today, Skyler Rogers has been with Limble now for about two years, and he's currently the manager of of solutions engineering, after he originally started out on our customer success team.
So, Skyler has really grown up around mechanics his entire life, and so he really understands, you know, their unique, challenges that maintenance managers face as well as, you know, all the long hours that they put in as well. And so he loves to just really help our customers create more streamlined processes that help them to calm the chaos and just build more efficient maintenance operations.

Hi, everyone. Thanks for joining us today as we take a look at spare parts management inside of Limble. So you should actually see our desktop pulled up here, and on the right of that, our mobile application.
So I'm gonna start here on the desktop side in my Limble location.
We're actually gonna jump right into our parts section of that location. So before we dive right in, one thing to note about parts is they are unique to each location.
We'll get a little more granular about what that means specifically, but do know every single location will have its own parts management section. So if you're at more of a global level, maybe you have multiple locations, parts list.
Now as far as getting these parts entered, you can either add them manually, one at a time, very easily, or we can actually bulk upload these parts through, like, a CSV format. And, of course, our customer success managers and team over here at Limble are happy to help you through that implementation process when, when that time is appropriate there. I'm gonna go ahead and pull up an example of a part here. This is my bearing.
In the top left side, you'll see that I'm able to have a picture of that part, and then I have some part information here. My part name, part number, a quantity, price, maybe a location, even a criticality.
Just like the assets inside of Limble, with parts, you're actually able to customize fields here and add any information that you need, especially on parts. It's really nice to be able to come in here, and maybe I want to create a part name, for a warranty. Right? So I can go create a field.
Let's say, hey. I want a warranty date right there. Call that a date field, and then simply create it. Now once I get that date field created, I can go in here, make a warranty date, and even set a reminder based off that warranty date, however, before I need to and who it needs to go to right there.
So we all know if, you know, we're replacing a motor or something that has those warranties, we're right in front of those at all times.
So custom information per part, and, of course, we can add these fields in bulk when we do our general part upload as well. Now as far as the parts with the vendor management piece, we can have our part with multiple vendors.
Each of these vendors could have a part number in here if we wanted to, and then their own price. You'll notice that I have McMaster and Granger in here. McMaster is my preferred vendor, but I do have a plan b in case maybe that lead time is taking too long or they run out of the part, we can definitely have a multi vendor situation there as well. In the asset piece, we can actually track which assets go to this part. Great thing about this process is if I use this bearing, let's say, on a rooftop unit or whatever it may be, Limble is actually going to make that connection organically for you. So you don't have to manually even associate your parts with your assets, but you certainly can on your initial upload if you'd like as well.
Jumping to the parts log, you can see any movement with this part, whether that was me changing a field on the vendor task or whether that is the parts were added or where that part was used on a task. So very good granular tracking on the part section. We can even download and export a list, via CSV very easy of any of that log history that you may need. As far as the reports at a five foot level for this part, if I click into my reports, you're gonna be able to see the total parts used, total cost of parts, where that part was used specifically, and then days since last use. And then as we use this part, it'll even give us some part forecasting So and set our minimum and maximum threshold quantities.
Definitely something very, very nice to have. And as far as parts go, Limble customers save an average of about twenty nine percent on spare parts ordering. This is part of what makes that so successful, so it's not such a black hole anymore. Right? I can always make sure in this situation, I have ten on hand, order up to a hundred and twenty five, and assign that task directly to my parts manager. We'll even have a stale threshold. Basically, that is if the part's sitting for x number of days, in this case, three hundred and sixty five days, let's go ahead and get a reminder because it may be taking up shelf space for no reason.
So some automation there in the parts management, easily set up. We also have QR codes for these parts, making parts very easy as far as trackability and even easier to add to a work order. Right? So if I'm a technician, I start a work order here on the mobile application, I easily can walk up, add that part to a work order, or let's say I wanna look up that part information.
If I click on that part, I, of course, have my parts information right there on the mobile app. But if I click on that QR code and I scan my bearing, maybe I wanna know the warranty information. Any of that information, we actually went through just barely on the desktop. As you can see, it's right there on the mobile app for me as well.
So, again, really streamlining those processes with the QR code and also, of course, being able to come in here, set those minimum and maximum threshold quantities.
At a part level, again, this will be by location.
We also can help you ensure some accuracy when it comes to your parts management, where you can come in here and set up your cycle counts.
I can break down the cycle counts by time, how many parts I want to actually count, break those up by task. So maybe we wanna count a thousand parts at a time. I have ten technicians. Each of you go in there and do a hundred of those, and we can even get more granular and break this down by criticality, by location, really whatever you want here. And you can have multiple schedules running at the same time if you would like very easily. And, of course, Limble is gonna show you at a bird's eye view, hey.
Exactly how many parts you have in stock, what that value is, and you can actually easily pull all of that information out because in Limble, you own your data here. So, again, very streamlined information with the parts, very easy to set up the minimum threshold tasks, and then, of course, all of that reporting that's gonna go along with the historical data that you're pulling up. Now if you do have multiple locations, one thing to note as well, maybe you want the ability to transfer apart from location a to b. Well, I can set up that permission if I'm a manager or a technician, depending on your needs, come in here, transfer a part from one site to another very easy.
And that will go in the parts log, and I'm able to transfer that part as well. So a lot of great part functionality there. And, again, that was the main piece that we wanted to go through today was parts management.
Now I do wanna start the q a's q and a section here. It looks like we have a few questions that are already coming in, so I'm really excited to dive into some of these parts management questions. Let's go ahead and get going on that.
